The Lead Handoff Loop

A captured lead is not a qualified lead until the next action is obvious.

The Lead Handoff Loop

The case study

The model

An illustrative lead-routing workflow for a founder-led B2B team that captures demand but loses momentum between the form, the inbox, the CRM and the person who should reply.

The situation

The team had a working form and a steady stream of enquiries. The problem came after submission: some leads went to email, some to a spreadsheet, and some waited for a founder to remember the context.

That makes response time a systems problem, not a motivation problem. The model gives every new lead a next action, an owner and a fallback before the conversation goes cold.

What they did

  1. 1Capture the source, landing page, request and urgency with the lead instead of forwarding a blank notification.
  2. 2Classify intent into three simple tiers: ready to talk, needs context, and not yet qualified.
  3. 3Route the lead to the right owner with a visible response target and a fallback when that owner is unavailable.
  4. 4Review the exception queue daily so no high-intent lead disappears between tools or handoffs.
